Job Overview

The Finance Coordinator is responsible for overseeing the company’s day-to-day financial administration, including billing, invoicing, payroll, trust account management, financial reporting, expense monitoring, and client financial communications. This role requires exceptional organizational skills, accuracy, confidentiality, and the ability to work effectively in a fast-paced environment while supporting both internal operations and external stakeholders.

Key Responsibilities

The successful candidate will be responsible for, but not limited to:

Financial Administration

  • Prepare, edit, proofread, and maintain contracts, retainer agreements, invoices, receipts, sales orders, and financial documentation.
  • Ensure financial records are complete, accurate, and compliant with company standards.
  • Maintain organized documentation of all financial transactions.

 

Billing & Client Accounts

  • Prepare invoices, receipts, statements of account, and sales orders.
  • Calculate and apply appropriate service fees.
  • Maintain and update client financial records.
  • Monitor outstanding balances and refund lists.
  • Provide clients with statements of account as required.

 

Trust Account Management

  • Manage client trust funds in accordance with regulatory requirements.
  • Coordinate transfers between company accounts and Regulated Canadian Immigration Consultants’ trust accounts.
  • Reconcile trust account transactions and maintain accurate records.

 

Financial Reporting

  • Monitor company expenses, accounts payable, and revenue.
  • Conduct bi-weekly financial reviews.
  • Prepare management financial reports.
  • Assist with financial forecasting and company financial analysis.

 

Payroll & Expense Management

  • Process employee payroll accurately and on time.
  • Maintain payroll records, deductions, and payment information.
  • Record and monitor company expenses.
  • Coordinate financial matters with the accounting team.

 

Client & Administrative Support

  • Respond to financial inquiries from clients, employers, and temporary foreign workers.
  • Explain company fees, pricing, payment schedules, and financial agreements.
  • Answer telephone and email inquiries professionally.
  • Schedule meetings and appointments.
  • Organize management meetings and prepare meeting minutes.

 

Office & Records Management

  • Maintain manual and electronic filing systems.
  • Improve office procedures and financial workflows.
  • Ensure proper record retention for financial documents.
  • Order office supplies and maintain inventory.

 

Team Support

  • Train and assist staff on office procedures and financial systems when required.
  • Support management with administrative and financial coordination.

 

Qualifications

 

Education

  • Bachelor’s Degree or equivalent experience in:
    • Accounting
    • Business Administration
    • Finance
    • Related field

Experience

  • 2 to less than 3 years of experience in accounting, bookkeeping, or finance coordination.
